Role Purpose
To provide comprehensive switchboard services and reception services in response to business needs, while adhering to all laid down safety and security standards.
Key Accountability/Responsibilities
- Handle calls and attend to customers for efficient and effective office operations/functions
- Proper handover at switchboard and the reception ensuring that the incoming staff is well briefed updated to ensure continuity.
- Receive visitors at the company headquarters and guide them promptly and accurately with security standards to avoid security lapses
- Answering/responding to customer inquiries on delayed, cancellation and arrival of flights to improve customer satisfaction and reduce cases of complains
- Ensure that all calls are answered by the second ring and all calls made to company network at least 95% of them are attended to, then direct them as required in order to achieve efficiency
- Send out daily reports on private calls made by staff for charging purposes
- Product knowledge is a must by keeping yourself up to date with all developments within company network and all over the world, hence ensuring awareness
- Identify inaccessible extensions, links and faulty lines and report to engineers for repai
- Knowledge and Compliance with relevant security procedures to minimize security threats/risks and enhance safety
- Any other official duties as may be assigned by the controlling officer.
Academic qualifications
Essential
- High School Certificate
- Diploma in telephone operation and receptionist
Work Experience &Skills
Essential
- Minimum of 2 years experience in document management systems
- Minimum of 2 years experience in Telephone operator
- IT and communication skills
- High proficiency in Ms Office packages
